About the challenge
We are looking for a finance assistant responsible for the day-to-day tasks in the financial department. They are responsible for ensuring that the organization has its bookkeeping for budgets and taxes, preparing cost analysis reports for other departments, updating financial records, and processing invoices.
What are some of the things I will be doing?
- Preparing and generating PO's for freelancers.
- Processing freelancer's invoices on Xero.
- Updating Xero and Harvest with additional information required by UU procedures.
- Reconciling expenses cards used in UU.
- Create, send and follow up on invoices on Xero and Ariba.
- Report any errors or discrepancies in the records of financial transactions.
- Suggest improvements on accuracy, efficiency, and reducing costs.
- Support The Head of Finance with implementing financial policies to guarantee operational efficiency.
- Assist with the preparation and planning of budgets.
- Create cost analysis reports for other departments, including updating budgets with actual monthly figures.
- Ensure financial records are kept up-to-date with the latest transactions and changes.
- Assist with the preparation of cost analysis reports for other departments
- Assist with the preparation of monthly and quarterly financial reports.
- Collect and review data for reports.
- Review subscription board on Monday.com and highlight any errors to Ops Department
- Ad hoc duties as required by The Head of Finance and the Ops Lead.
- Overseeing work of bookkeeper
- Assist in preparing for the MOSS return with a third party accountant.
- Administrative duties and assisting the Head of Finance with the preparation of the yearly accounts.
- Preparing and reviewing projects financial statements
- Managing employee expense claims
- Support the Audit & manage all company equipment
- Manage procurement processes, including our equipment inventory.
- Support the Business Operations Manager in the monthly financial review to be submitted to the Accounts Team.
- Oversee the day-to-day operations of our London office.
- Identifying, analysing and improving existing processes to drive continuous improvement across our workflows.
Essential skills

- A capacity to make quick but rational decisions
- A potential to lead and motivate others.
High-growth technology experience required (preferably software with multiple revenue streams).
Xero experience.
Background of working in a multi-entity, multi-currency environment
